Best Practices for Recruiting Students

Thank you for your continued recruitment of our students and for your commitment to North Carolina Agricultural and Technical State University (N.C. A&T). Please take a moment to read the very IMPORTANT INFORMATION below which pertains to recruiting at N.C A&T during the Summer and Fall 2022. 

Summer: The Office of Career Services will operate virtually during the summer. Hours of operation are 8 a.m. - 5 p.m. (ET). The best method of communication is email. Staff will respond via reply email to schedule a phone or Zoom video conference, if needed. To reach a specific staff person click here. General questions may be emailed to ocs@ncat.edu. 

Fall: The university plans to open at full capacity in the fall which means students, faculty, and staff will be back on campus. However, recruiting operations will be observed via a hybrid model (on-campus and virtual) with limited capacity for some activities. More details in the Events section below.

  • September 14: 48th Annual Career Awareness Fair (Virtual) 
  • September 14: Career Awareness Fair Next Day Interviews 
  • September 19: Fall Recruiting Season Begins 
  • October 5: Graduate & Professional School Fair (for Institutions) 
  • October 10-11: Fall Break 
  • November 18: Recruiting Season Ends 
  • December 5-9: Exam Period 
  • December 10: Graduation 

Employers/institutions may host virtual events (no in-person events) during the summer beginning May 24th - July 22nd. Keep in mind that student engagement is lower during this period. Employers may host hybrid events in the Fall beginning September 19th (or sooner if a Career Awareness Fair participant – reference the schedule in Save the Dates above).

All events must be requested via Handshake and can be held any time from 12 - 2 p.m. or 6 - 8 p.m. Tuesday thru Thursday. Interviews, resume critiques, mock interviews and office hours can be held from 9 a.m. - 5 p.m. (ending by 5 p.m.). 

 

Please submit your event request via Handshake and complete/submit the required logistics survey. If your event is virtual, include the access information when submitting the request. Career Services can assist your organization by scheduling the event via Zoom or you may use your own platform (i.e., WebEx, Cisco, Google Meets).

All events must be requested a minimum of 10 business days prior to the proposed date. An event will not be processed or confirmed if it does not adhere to the aforementioned statements.   • Post Event Employer Survey & List of Participants: A short post-event survey will be sent to the contact person listed on the logistics survey. The post-event survey must be completed and submitted no later than 48 business hours after your event. Include your list of A&T participants/students with the survey. This data will help our office to determine the effectiveness of the event, develop future best practices and recruitment strategies, document your campus engagement and track students’ co-curricular engagements. If the post-event survey and list of participants are not submitted, it could affect the approval of your future events. 
  • Fall Career Awareness Fair Participants: Employers who are approved for the Career Awareness Fair may start hosting events September 1st. This will assist with recruiting students to your booth during the career fair.
  • Regular fall recruiting season starts September 20th.
  • Please submit requests for Fall events as soon as possible as spaces fill up quickly.

  • Graduate & Professional School Fair (In-Person) | October 5, 2022, | 12-3 p.m. 

Fall career fairs will be held in-person and (or) virtually via the Handshake Virtual Career Fair platform. Registration will be open in Handshake approximately three months prior to the event. 

The number of rooms available for on-campus interviews will be limited in the fall. However, employers may continue to host virtual interviews on the platform of their choice. All interviews (whether on-campus or virtual; room only, pre-select or open) must be requested via Handshake. 

Employers who are conducting on-campus Room Only interviews will be required to forward career services a list of students to be interviewed including their first & last name, classification, and major if known. This will enable the office to prepare for the student’s arrival and attach the interview to both the employer and student’s record. 

For virtual interviews, the room/interview location will be noted as “virtual”. Once the student selects an interview time slot and the schedule closes, it will be up to the employer to notify the student(s) of the interview link which will be utilized for the virtual interviews.

Please note that the information provided will be kept confidential (unless the student signs a waiver) and not shared outside of the university. Only aggregate data will be shared externally.

For all offers extended during fall recruiting season for summer internships, co-op or full-time employment, employers should allow students until October 1 or a minimum of two weeks from the date of the written offer, whichever is later, for students to accept or decline and allow until March 1 or a minimum of two weeks from the date of the written offer to accept or decline any offers extended during Spring recruiting season.

The OCS advises recruiters to neither pressure students to accept offers in less time than indicated above, nor attach bonuses that “explode” if the offer is not immediately accepted. For all offers extended during Summer accelerated recruitment, the same guidelines will apply. 

According to the National Association of Colleges and Employers (NACE), experience shows the best employment decisions for both students and employers are those that are made without pressure and with the greatest amount of information and transparency. Students given sufficient time to attend career fairs, participate in on-campus interviews, and/or complete the interviewing in which they are currently engaged are more likely to make good long-term employment decisions and may be less likely to renege on job acceptances. 

 

  • Start with Career Services. We will serve as your liaison and maintain a record of your engagement. 
  • Post all event requests and jobs in Handshakes which serves as the central location for career activities. This will maximize exposure, minimize the number of individual emails sent to students, faculty and staff, and enable the office to monitor sign-ups to provide assistance where needed. 
  • Plan accordingly to allow your request to be approved and promoted no later than 10 business days before the proposed event. 
  • Be open to all classifications whenever possible; cultivate relationships with freshmen. 
  • Create flyers that are pictorial, diverse, and engaging for promotion via social media and plasma boards. 
  • Consider creating a “commercial” to promote your organization or job opportunity on social media, especially prior to career fairs. Submit all marketing material via email here. 
  • Use alumni or recent interns/co-op students (during events) to connect with students; submit student testimonials and pictures of their engagement with your organization.
