Extending Temporary Assignments
Extension of a temporary assignment occurs at the discretion of the hiring supervisor. By policy, a temporary employee working twenty or more hours a week may only work on a temporary assignment for the University for twelve consecutive months; at the end of which the temporary employee must be removed from the University's payroll.
For temporary assignments less than twelve consecutive months in duration where there is a continued business need for temporary staffing and funding is available, the hiring department may submit new Recommendation for Temporary Employment (T101-10) (Completing Sections I, II and III) and Recruitment Justification (PD303) forms to request extension of assignments funded through 61410 (Temporary) or 61210 (Paid Against) accounts. Authorized departmental and administrative signatures must be obtained, and completed forms must be submitted to the Division of Human Resources for approval no less than 10 working days prior to the end of the temporary assignment as indicated on the original recommendation form.
Temporary assignments funded with state funds must have the signature approval of the respective Dean, Vice Chancellor and/or Provost. The recommendation will be forwarded to the University's joint Cabinet / Budget Advisory Committee for approval by the Division of Human Resources prior to review and funding approval by the Office of Budget and Planning.
Temporary assignments funded with Grant Funds must have the signature approval of the Dean. These forms will be forwarded to the Office of Contracts and Grants by the Division of Human Resources for review and funding approval. Prospective SPA temporary employees can be offered the appointment upon approval of funds and confirmation of the start date.
When completing the Recommendation for Temporary Employment (T101-10) form for extensions, please mark the Extension box and calculate funds based on the new effective dates for the extension.
Approval of Requests
Upon approval of the temporary assignment extension request from Budget & Finance or Contracts & Grants:
- The original copy of Recommendation of Temporary Employment (T101-10) form will be returned to the Division of Human Resources.
- The Hiring Manager will be notified of the extension approval and new effective dates.
