Participant Support Costs

PURPOSE

The purpose of this statement is to provide guidance for participant support costs.

GENERAL GUIDELINES/APPLICABLE POLICIES

Participant support costs are items of costs such as stipends, subsistence, travel costs and registration fees paid to or on behalf of participants or trainees (but not employees) in connection with meetings, conferences and training projects. These costs are identified in the budgets at the time of proposal submission.

PROCEDURE:

  1. Participant support costs should be specifically identified in the proposal and budget narrative.

  2. Funding agency guidelines should be followed relative to requesting indirect costs (F&A) on participant support costs.

  3. F&A Costs are not charged on National Science Foundation participant support costs.

  4. If any agency restricts the rebudgeting of Participant Support Costs or F &A is not allowed, a separate Banner Fund and budget must be established.

  5. If agency prior approval is required to rebudget funds from participant support costs to other categories of costs, the Principal Investigator/Project Director (PI/PD) should request the approval through the Office of Sponsored Programs.

  6. Expenditures for participant support costs follow normal university procedures based on the type of expenditure.
